EBOH Desk Assignment Policy, Process, & Request Form

To facilitate a fair and efficient use of shared workspace across the Department of Epidemiology, Biostatistics and Occupational Health (EBOH), we have implemented a new process and request form to support the desk assignment policy for eligible users.

Desk Assignment Policy

Desks are assigned to PhD students and other eligible users, including:

  • Research Assistants
  • Postdoctoral Fellows
  • Research Associates
  • Graduate Research Trainees

Individuals with assigned desks must commit to using it at least 60% of the time, which means being present a minimum of 3 out of 5 weekdays. Individuals with assigned desks may be asked to share the desk with another person.

Hot Desk Option

Users who do not meet the 60% usage requirement will not be assigned a desk. They are welcome to use hot desks, which are available on a first-come, first-served basis (daily).

Desk Assignment Process

Desks will be assigned three times per year for the Fall, Winter, and Summer sessions. Each has a corresponding deadline for desk requests: August 1 for the Fall, December 1 for the Winter, and April 1 for the Summer. Please do not submit desk requests via email. Instead, use the Desk Request Form.

Once assigned a desk, it is not necessary to re-apply for future semesters. However, regular reviews of desk use will be conducted throughout the year, and users will be asked to confirm whether they continue to use their desk 60% of the time, whether they are able to share with another student, or whether they no longer need their desk. We ask for everyone鈥檚 cooperation so that we can fairly allocate underused desk space to new students and other eligible users.
