Renewing Postdoc Registration

After initial registration, all returning postdocs are required to renew their registration annually for the duration of their stay at ɬÀï·¬ through the Management of Academic Records, Enrolment Services.

How to renew your registration

Postdocs must renew their registration before August 14 for the upcoming academic year (September 1 - August 31). The following documents are required:

  • A valid Letter of Agreement (LoA). Note that only the following version the Letter of Agreement will be accepted: Letter of Agreement for Postdoctoral Education (fillable pdf). IMPORTANT: the LoA must be signed by the postdoc, supervisor, unit head and HR Advisor.
  • For international postdoctoral candidates: a valid work permit* or proof of implied status

Should either of the above documents expire during the academic year, you will only be registered until that expiry date until a new document is provided. The new documents should be emailed to postdocrecords [at] mcgill.ca.

Once you have the required documents:

  1. Login to the
    • If you don’t have an account, create one using your name, email and birthdate.
    • A temporary PIN will be sent your email account: retrieve the PIN, enter it in the portal and set a new password,
  2. Start a Postdoctoral application by clicking on Start new application. Next from the application type picklist select Postdoctoral and Graduate Research Trainee Research and click on create new application.
  3. In the Select your program option choose Postdoctoral (Renewal). Complete all the corresponding forms, which include: language of choice, personal and biographical information, Legal status in Canada (requires uploading proof), Postdoc registration (requires uploading documents mentioned above), permission to disclose, applicant census (optional) and agreement, and submit your application. NOTE: If you previously submitted a Postdoctoral application, the personal information provided is retained and should be validated.

Your file and supporting documents will be reviewed by Management of Academic Records in Enrolment Services. Once the review and processing are completed, you will receive an email confirmation to inform you that a registration renewal confirmation letter is issued in the Postdoctoral application portal as confirmation of your registration.

​*post graduate and open spousal work permits are acceptable for postdoctoral registration at ɬÀï·¬.
