Faculty Email Guidelines

Units within the Faculty of Medicine and Health Sciences (FMHS) send mass emails to members of the FMHS community, which includes learners, employees and faculty with a ɬ﷬ appointment. At the FMHS Communications Office, we know many people are overwhelmed with a high volume of email, and we encourage units to take steps to reduce unnecessary traffic.

Mandatory vs Optional Emails

Some mass emails are sent through an email platform that allows recipients to unsubscribe from certain mailings.

Mandatory emails:

  • When emails contain information related to employment, academic, or other formal relationships with ɬ﷬, they are usually considered mandatory.
  • Mandatory, non-commercial emails are exempt from unsubscribe requirements under Canada’s Anti‑Spam Legislation (CASL) because they deliver essential information.
  • If you are a member of the FMHS community, you usually will not be able to unsubscribe from a mailing list used to send mandatory, non-commercial emails. In that case, the footer of the email will not contain an “unsubscribe” link.
  • If you are not a learner, employee or a faculty member with a ɬ﷬ appointment, you can contact us to unsubscribe from a mailing list. Just email us at fmhs-fmss.communications [at] mcgill.ca.

Optional emails:

  • When emails sent from a mailing list are optional, the FMHS Communications Office encourages units to enable the unsubscribe option in the email platform used for the mailing.
