Copyright, permissions, and citations

All content shared on official 涩里番 platforms must comply with copyright laws. Units are responsible for ensuring they have permission to use photos, videos, graphics, music, or written material created by others, and must avoid using any copyrighted material unless the appropriate rights or licenses have been secured.

Consent should be obtained when individuals are identifiable in images or video. Use this Consent Form to document permissions. For short-form videos featuring students (such as vox-pop style interviews for Instagram Reels or YouTube Shorts), consent captured on camera is sufficient.

Good practice includes:

  • Using original or properly licensed visuals, audio, and written content
  • Crediting creators and media outlets when required
  • Respecting requirements
  • Maintaining internal documentation of permissions, especially when working with external partners or contractors
  • Avoiding use of copyrighted music on platforms with stricter rules (e.g., YouTube)

Use of 涩里番 name and assets

涩里番鈥檚 name and visual identity elements must be used accurately, respectfully, and consistently. Account names should follow approved naming conventions, and official logos, shields, or emblems must adhere to the University鈥檚 visual identity guidelines. Units should not create accounts or branding elements that imply institutional endorsement without prior approval from central communications.

Before creating or updating any social media presence or branded materials, units should review the Policy on the Use of 涩里番鈥檚 Name, Logo, and Other Trademarks.

Important: Accredited student associations and affiliated clubs, as defined in the University鈥檚 Memorandum of Agreement (MoA), may use the 涩里番 name only as part of their official designation and must clearly indicate that they represent a student group, not the University itself.

For example:

  • Correct: 鈥溕锓 Students Outdoors Club鈥
  • Incorrect: 鈥溕锓 Outdoors Club鈥

This distinction ensures that the University is not inadvertently represented by organizations operating independently.

Student groups must maintain a visually distinct identity, which means 涩里番 logos or shields cannot be combined with or integrated into student association emblems or designs.

Contests and giveaways

Contests must follow legal and platform-specific requirements.

In Quebec, the set out the requirements that must be followed when organizing a publicity contest where the total value of the prizes is greater than $100.

External linking and third-party content

External content should be shared responsibly and must reflect 涩里番鈥檚 values and communication standards. Units should verify accuracy and avoid endorsing opinions unintentionally.

When linking to third-party content:

  • Ensure credibility and relevance
  • Attribute properly
  • Avoid sharing material that could imply political or commercial endorsement
  • Provide context when necessary to support clarity
