Hiring a student

Hiring decisions are at your discretion, howeveryou’llonly receive a subsidy if you hire a Work Study-approved student.

Once your Work Study hours are approved,it’stime to start hiring!

  1. Createajobrequisitionin Workday (this stepforɬ﷬ employers only. ɬ﷬-affiliated employers skip tostep2).
    Only the following jobs are Work Study eligible:
    • AMUSE:Any job from the Admin & Support Catalog.
    • Only Graduate and Undergraduate research assistants from the Student Job Catalog
  2. Postthe job in(recommendedplatform):Here,students can search forWork Studyjobs.Applicants will contact you directly.Select position type “part-time” andjob function “ɬ﷬ Work Study”when creating the job posting.
  3. ձڲٳܻԳٲ:
    • Confirm thatthedatesindicatedin thestudent’s Work Study confirmationletter correspondto the period you have been approved for.
    • Social Insurance Number:Thestudentmust have or have applied for a Social Insurance Number.Read more abouthiring international students.
  4. Add student(s) to payroll:
    • ɬ﷬ employers:Payroll must be set up inWorkday, where students will also enter their time.If your department does notuse Workday, work.study [at] mcgill.ca (email the Work Study team) to request special instructions.
    • ɬ﷬-affiliated employers(MUHC, CKUT, SSMU):will use their ownpayroll system.
  5. Create a work schedule:Decide on a work schedule together.We recommend no more than 15 hours per week. Many students prefer to work 8-12 hours per week.Remember – they are students first!

Students must be paid at an hourly rate equivalent to or greater than the minimum wage in the current Collective Agreement.

Statutory holidays, overtime, and retroactive payroll increases are not eligible for subsidy reimbursement.
